Detailed notes can preserve history. A visible next action turns that history into work you can actually complete.

Keep four things visible

StatusIs this new, active, nurture, closed or no longer appropriate to pursue?
Last meaningful contactWhen did something relevant actually happen—not merely when was a record edited?
Next actionWhat specific, appropriate step comes next?
Next follow-up dateWhen should that action or review happen?
A useful test: if someone opened the tracker tomorrow, could they understand the next legitimate action without reading a page of notes?

Use a weekly exception review

Instead of re-reading every record, review the exceptions: overdue follow-ups, high-priority items without a date, and active contacts without a clear next action. That keeps the review tied to decisions.

Keep sensitive information out of lightweight marketing trackers

A simple workflow tool is not the place for confidential financial information, identification numbers, private documents or other sensitive client data. Use systems and practices appropriate to the information you are handling, and follow your brokerage and applicable privacy/security requirements.
