Before the event
1. Decide what you actually need to capture.Use only the information needed for legitimate follow-up and your workflow. Avoid collecting sensitive information just because a form has room for it.
2. Prepare the follow-up message before anyone arrives.Write the starting version now, then customize it to the actual conversation later.
3. Define the possible next actions.Examples might include sending requested information, scheduling a conversation, adding an appropriate nurture date, or closing the loop.
During the event
4. Record one useful context note.Keep it specific enough that future-you understands why the person matters, without putting sensitive personal information into a marketing tracker.
5. Give every meaningful conversation a next action.“Spoke at open house” is history. “Send requested property options Monday” is an action.
After the event
6. Complete the promised follow-up.Use the timing and communication method appropriate to the person, their request, applicable consent requirements and your brokerage policies.
7. Set the next date or close the loop.Do not leave a contact in a permanent “maybe later” pile. Assign a legitimate next review date or mark the workflow complete.
Keep the system small enough to use. The goal is not to capture everything. It is to make the next appropriate action visible.
